ActionSuite email and Resend contact-directory privacy notice

This notice explains the optional product news, educational content, and occasional offers available through Automatika ActionSuite, and a separate minimum Resend Contact directory used for contact reconciliation and suppression safety. It supplements the full Automatika Privacy Policy. Marketing consent remains optional and does not affect essential account, security, billing, or service messages. On 27 August 2026, the Automatika owner directed activation of the minimum Contact directory together with this updated disclosure.

Minimum Contact directory — activated 27 August 2026

By owner decision on 27 August 2026, ActionSuite activated a minimum Resend Contact directory and may create or update a Contact record for an existing ActionSuite account. The directory supports contact reconciliation, preference and suppression administration, and prevention of unintended or duplicate marketing delivery. Directory activation does not itself send a message or subscribe an account to marketing.

A Resend Contact record is an operational directory entry—not enrollment in a marketing list. Its existence, or a FREE or PRO plan label, never means that you consented to marketing.

Choice and consent

Marketing email is optional and disabled for you unless you actively give explicit consent through a separately presented ActionSuite consent request. An account, subscription, FREE or PRO status, purchase, course enrollment, or acceptance of general terms does not count as marketing consent.

You can withdraw consent at any time through the unsubscribe link included in every marketing email or by contacting support. Withdrawal does not affect your access to ActionSuite or stop essential operational messages.

Purpose and basis

Essential account, security, billing, and service email is processed as part of the account or service relationship with you. These operational messages are not marketing and do not depend on a marketing opt-in. That relationship and our prior service-provider disclosure also cover the one-time Resend delivery of this required change notice on 27 August 2026.

The separate minimum Resend Contact directory relies on Automatika's legitimate interests in reconciling the correct account, preserving suppression integrity, and preventing duplicate or unwanted delivery. We limit the fields and uses, keep the directory outside ActionSuite marketing audiences without separate permission, and provide the objection and deletion routes below. This basis is not used to infer permission for optional marketing.

Optional marketing relies only on your current explicit opt-in through ActionSuite. You may withdraw that choice at any time.

Information we process

For the active minimum Contact directory, ActionSuite may send Resend your account email address; first and last or display name when already held in ActionSuite; current plan tier (FREE or PRO); a pseudonymous, non-reversible ActionSuite user reference instead of your raw Google ID; and current consent, Topic, unsubscribe, complaint, bounce, or suppression state when applicable.

We also process the date and source of your preference, the applicable notice version, and delivery or suppression events needed to operate the service safely. A campaign may use your account name for personalization only when it is already present in ActionSuite. We do not send Resend your raw Google ID, payment details, billing history, Pancake credentials, or course activity for this directory, and we do not sell marketing-contact information.

Resend processing

Automatika determines the purposes and permitted uses of the ActionSuite contact data. Resend, operated by Plus Five Five, Inc., acts as our email-delivery and contact directory processor. Beginning 27 August 2026, Resend may store the minimum Contact fields described above and process essential-message delivery, bounce, complaint, unsubscribe, and suppression events so ActionSuite can reconcile the correct account, honor recipient choices, prevent restricted or duplicate delivery, and protect sender reputation.

Provider data may be processed outside your country under Resend's contractual and privacy safeguards, including its Data Processing Addendum. Review the Resend privacy policy and Data Processing Addendum for provider-specific information.

Directory status is not marketing consent

An account, Contact record, subscription, FREE or PRO tier, purchase, course enrollment, or acceptance of general terms never opts you into marketing. Unless you make a current explicit choice through a separately presented consent request, your marketing status remains unknown and ActionSuite does not add your Contact to its marketing Topic, FREE or PRO marketing Segment, or a campaign-specific Segment.

If you later opt in, campaign eligibility is still checked at send time. Contact metadata may be maintained for the separate directory purpose without making the Contact eligible for a Broadcast.

Retention and suppression

Directory contact data is kept only while the ActionSuite account is active or while needed for the reconciliation, preference, suppression, security, dispute, or legal purposes described here. Eligible fields are deleted from Resend or de-identified when the account is deleted or the directory purpose ends, unless a longer period is required by law or is necessary to preserve a restriction.

Consent and withdrawal records are retained only as long as needed to operate your preference, demonstrate the choice you made, meet legal obligations, resolve abuse, and prevent delivery after an unsubscribe, complaint, or permanent bounce. A minimal suppression record may be kept after withdrawal or an account-deletion request when necessary to ensure the address is not added back to marketing.

Opt-outs and suppressions always take precedence

A local ActionSuite opt-out, Resend Topic opt-out, Resend global unsubscribe, complaint, permanent bounce, provider suppression, ban, or account deletion makes the address ineligible for marketing. A directory import, plan-tier change, later account update, or administrator action cannot silently reverse that restriction or treat it as consent.

You can withdraw marketing consent at any time without closing your ActionSuite account. ActionSuite may retain the minimum non-sendable record needed to keep that withdrawal effective.

Measurement

ActionSuite does not currently enable marketing-email open or click tracking. Basic delivery events are still processed to confirm delivery and apply bounce, complaint, unsubscribe, and suppression protections. If tracking practices materially change, this notice version will change and older consent will not be treated as current.

Your controls and rights

You can withdraw a marketing choice through any marketing email's unsubscribe link or by contacting ActionSuite support. You may also request access, correction, deletion, restriction, or objection—including an objection to the separate Contact-directory processing—through support@automatika.ph. Suppression and legally required records may remain where deletion would cause a withdrawn address to receive marketing again.

Privacy and Data Protection Officer requests may also be made through the contact method in the full Automatika Privacy Policy. Automatika Consulting is headquartered at 1209 Mountain Road PL NE, Albuquerque, New Mexico 87110, USA, and may be reached at +1 (575) 733-8001.
